ABOUT THE JOB

Qualitative Risk Assessment (QRA) is responsible for oversight of identification, management, and mitigation of qualitative risks including conducting independent risk assessments of non-models and tools (referred to collectively as non-model qualitative processes). Key uses non-models and tools (referred to collectively as non-model qualitative processes) to support its business functions, including estimating and managing risk exposure and losses, identifying idiosyncratic risk exposures, calculating risk-based pricing, and analyzing various business strategies.

The Executive Assistant for QRA (EA II) will provide administrative and office-based management support to support to the Chief Qualitative Risk Officer and his/her direct reports, located in Cleveland and New York City. The EA II also plays a crucial role in providing high-level administrative support to the Chief Market Risk Officer (CMRO), and the Chief Data Risk Officer (CDRO). This position is central to the smooth and efficient operation of the office, ensuring effective communication, and contributing to organizational efficiency within the risk management division.

The position will report to the Chief Qualitative Risk Officer (CQRO). This position will interface with executive leaders throughout the organization and their staff and work closely with the administrative staff of the Risk Management Leadership team members, Enterprise Non-Model, CECL & Financial Disclosure and centralized Climate Risk Team (CRT) teams. The EA for QRA will also provide support for the Qualitative Risk Committee and the Climate Oversight Council and along with the Quantitative Modeling & Advanced Analysis (QMAA) team, Enterprise Risk Office to ensure optimal use of resources.

ESSENTIAL JOB FUNCTIONS

  • Act as the primary administrative support to the CQRO, directly reporting to and ensuring the CQRO's agenda, meetings, and communications are managed.
  • Interfaces on behalf of Qualitative Risk Assessment with executive and risk management leaders along with leaders from the Lines of Business, Capital Management and Treasury teams, Quantitative Modeling & Advanced Analytics, and Model Risk in a cordial and professional manner in the execution of administrative duties.
  • Extend administrative support services to the CMRO and CDRO, facilitating seamless coordination and efficiency across the risk management division.
  • Monitors letters, phone calls and e-mails requesting the executive's action and/or presence.
  • Provides administrative support in the production of the quarterly Qualitative Risk Committee meetings. Maintain and revise documentation of departmental procedures as required.
  • Arranges the travel, transportation, and accommodations for the Chief Qualitative Risk Officer and the QRA leadership team and other individuals in the departments as needed.
  • Manage expense reports, completing and submitting for executives to accounting department, process invoices, and assist with budget tracking activities as needed.
  • Interacts with other senior leaders of the company and external officials including, but not limited to, auditors and regulators.
  • Handles inquiries on behalf of the executive, where possible.
  • Prepares a reply to correspondence (phone calls/voicemail, e-mail or hard copy) for the executive's review.
  • May reply to correspondence on behalf of the executive or route the correspondence to the appropriate party for handling.
  • Prepares material for the executive's review and sign-off.
  • Works with other team members in planning and executing logistics for large team meetings.
  • Performs duties in support of periodic executive conferences, site activities, etc.
  • Handles reports and agendas, provides notices, schedules rooms, provides meeting packets and may operate presentation equipment.
  • Performs staff work assignments such as report generation, as needed.
  • Identifies topics that will be discussed at meetings and conferences to prevent the executive from being "blind-sided".
  • Creates, processes, and approves invoices, expense reports, and work orders for the entire division.
  • Orders office supplies and equipment

MARGINAL OR PERIPHERAL FUNCTIONS

  • Perform additional duties or project work as assigned.

REQUIRED QUALIFICATIONS

  • A Bachelor's degree or equivalent experience in business administration, management, or a related field.
  • Minimum of 5 years of experience in an executive support or office management role, preferably within a financial services or risk management context.
  • Excellent interpersonal, written and verbal communication skills. An inquisitive nature, strong communication and negotiation skills are required to effectively obtain business requirements and approvals from various stakeholders; detail orientation, good interpersonal skills, accuracy, focus, and teamwork are required.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with strong technical competencies with word processing, spreadsheets, graphics, and navigation of the Internet.
  • Ability to work under pressure and adhere to strict deadlines with an excellent attention to detail and ability to multi-task.

  • Ability to prepare high impact management presentations with the appropriate level of detail for the audience.

COMPETENCIES/SKILLS

  • Demonstrated ability to set priorities, organize workflow and manage multiple tasks concurrently; strong ability to act resourcefully, conduct fact-finding research work and well under pressure and deadlines.
  • Demonstrated excellent communications skills.
  • The candidate must be highly proficient with MS OFFICE, (Word, Excel, Access, and PowerPoint).
  • Ability and willingness to take initiative, assume accountability and drive for results. Must be able to exercise good judgment, employ reasoning skills, exert positive influence and work independently.
  • High level of comfort, interactivity with senior executives, and risk management professionals
